Why Companies Outsource Event Photography and Video

Learn when an outside photography and video team makes more sense than permanent internal staff, and what to compare before hiring.

Most companies need heavy photo and video coverage on about six days a year and almost none the rest of the time. That uneven demand, more than budget, is usually what decides whether coverage is handled by staff or hired from outside.

The demand is rarely steady

Most organizations do not need the same amount of photography and video every week. Demand rises around conferences, leadership meetings, launches, fundraising events, and hiring campaigns. An outside team can cover those peaks without leaving unused capacity during quieter months.

This is not a choice between a good internal team and a good outside team. It is a question of workload, timing, and whether the people already on staff can step away from their normal jobs when an important event begins.

One event can require several skills

A conference may need still photography in two rooms, short interviews, a recap video, executive portraits, and edited selects before the day ends. Those tasks require different equipment and often different people.

  • Fast selects for press, sponsors, or social posts

What companies should compare

Ask who owns the schedule, how multiple shooters are coordinated, when files arrive, and whether editing will match from one assignment to the next. A low day rate is not useful if the team misses required sessions or delivers files too late for the campaign.

Also compare the cost of pulling employees away from communications, marketing, or production work. Internal staff may know the organization well, but they may not be free to document the room while also running it.

When internal production makes sense

A company producing video every week or maintaining a large product catalog may benefit from full-time creative staff. Even then, outside event coverage can help when several rooms are active at once or the internal team needs to manage the program.

The practical takeaway

Use an outside partner when demand changes by date, the assignment needs several specialties, or the event team cannot also document the event. Give that partner a clear brief and judge the plan by what your organization needs to publish afterward.
